1. Who We Are

HirePost ("we," "us," or "our") operates the hiring and HR software platform available at hire-post.com. We provide SaaS recruiting tools and expert consulting services to small businesses.

This Privacy Policy explains what data HirePost collects as the platform operator. For applicant data collected by employers using HirePost job boards, the employer is the data controller. If you applied to a job posted on HirePost, contact that employer directly for questions about your applicant data.

2. Data We Collect

Employer Account Data

When you create a HirePost account, we collect:

  • Business name and email address
  • Password (stored as a bcrypt hash — we cannot see your plaintext password)
  • Account preferences and onboarding progress
  • Subscription and billing status

Job Posting & ATS Data

Content you create within the platform:

  • Job listings (title, description, requirements, salary, location, type)
  • Applicant records (name, email, phone, resume links, cover letters, pipeline status)
  • Interview notes and hiring decisions you record

Social Media Content

When you use the scheduling feature:

  • Post content, captions, and scheduled timestamps you create
  • OAuth tokens for connected social accounts (stored encrypted)

Onboarding & Training Data

  • Training programs, steps, and content you build
  • Employee assignment and completion records

Usage & Analytics Data

We automatically collect:

  • Page views, session data, and feature usage within the dashboard
  • Browser type, operating system, and IP address (for security and analytics)
  • UTM parameters from marketing campaigns (source, medium, campaign, content)
  • Signup funnel events (anonymous — no PII attached to funnel steps)

Contact Form Data

If you contact us via the contact form, we collect your name, email, phone (optional), subject, and message content.

3. How We Use Data

We use the data we collect to:

  • Provide the service — run your dashboard, store your job posts, track applicants, schedule social posts, manage training programs
  • Send transactional emails — welcome emails, application notifications to employers, application confirmations to job seekers, account alerts
  • Send activation emails — if you create an account and don't log in, we send a limited series of onboarding nudge emails (you can opt out any time)
  • Improve the platform — we analyze aggregate usage patterns to understand which features are used and improve product decisions
  • Prevent fraud and abuse — we use IP addresses and rate limiting to prevent spam applications and fake accounts
  • Respond to inquiries — contact form submissions are used solely to reply to your message
  • Legal compliance — we retain records as required by applicable law

We do not sell your data. We do not use your applicant data or job content to train AI models. We do not send marketing emails to applicants who submit through your job board.

4. Data Sharing

We share data only in these circumstances:

Service Providers

We use trusted third-party services to operate the platform (see Section 5). These providers process data only as instructed by us and are bound by data processing agreements.

Legal Requirements

We may disclose data if required by law, subpoena, court order, or government request. Where permitted, we will notify you before disclosing.

Business Transfers

If HirePost is acquired, merged, or undergoes a change of control, your data may be transferred to the acquiring entity. We will notify you prior to any such transfer and give you the opportunity to delete your account.

With Your Consent

We will share data with third parties in any other circumstance only with your explicit consent.

We do not sell, rent, or trade your personal information to any third party for marketing purposes.

5. Third-Party Services

HirePost uses the following third-party services. Each has its own privacy policy:

Postmark / Polsia Email Proxy

Used to send transactional emails (application notifications, welcome emails, activation nudges). Outbound email content is transmitted to this service for delivery. Postmark's privacy policy applies to email processing.

Neon PostgreSQL

Our primary database. All platform data (accounts, jobs, applicants, social posts, training content) is stored in a Neon PostgreSQL database hosted on AWS infrastructure with encryption at rest and in transit.

Render (Hosting)

Our web server runs on Render. Request logs including IP addresses may be retained by Render per their privacy policy.

Polsia Analytics

A lightweight analytics pixel on public pages tracks page views for internal product analytics. No personally identifiable information is attached to page view events.

Social Media Platforms

When you connect social accounts for scheduling, the relevant platform's API is used to publish content. Their terms and privacy policies govern the data you post through their APIs.

6. Data Retention & Deletion

Active Accounts

We retain your data for as long as your account is active and for a reasonable period thereafter to comply with legal obligations.

After Account Cancellation

When you cancel your account, your data is retained for 30 days to allow for account recovery in case of accidental cancellation. After 30 days, account data (including job posts, applicant records, and social content) is permanently deleted from our active systems.

Applicant Data

Employer accounts control how long applicant data is retained within their account. If you are a job applicant and want your data removed, contact the employer who posted the job. You may also contact us at admin@hire-post.com and we will assist.

Contact Form Submissions

Messages submitted via our contact form are retained for 24 months for customer service purposes, then purged.

Analytics Data

Aggregate, de-identified usage analytics are retained indefinitely. Raw event data (including IP addresses) is retained for 90 days, then purged.

7. Cookies & Tracking

Authentication Token

When you log in to the HirePost dashboard, a JSON Web Token (JWT) is stored in your browser's local storage. This token authenticates your session and expires after 30 days. It is not a cookie — it's stored client-side and sent only to our servers.

Analytics Pixel

We use a 1×1 pixel image beacon on public-facing pages to count page views. This beacon does not set cookies and does not track individual users across sites.

No Third-Party Tracking Cookies

We do not use Google Analytics, Facebook Pixel, or other third-party advertising tracking cookies on the HirePost platform. We do not track you across other websites.

Font Loading

Our pages load fonts from Google Fonts. Google may collect your IP address as part of this request. You can opt out by using a browser extension that blocks Google Fonts.

8. Data Security

We implement industry-standard security measures to protect your data:

  • HTTPS everywhere — all data in transit is encrypted via TLS
  • Password hashing — passwords are hashed with bcrypt; we cannot recover your plaintext password
  • Encrypted OAuth tokens — social media credentials are encrypted at rest using AES-256-GCM
  • Parameterized queries — all database queries use parameterized statements to prevent SQL injection
  • Rate limiting — API endpoints are rate-limited to prevent abuse

No security measure is 100% effective. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.

9. Your Rights

You have the following rights regarding your personal data:

Access

You may request a copy of the personal data we hold about you by contacting admin@hire-post.com. We will respond within 30 days.

Correction

You may update most account information directly in your dashboard. For other corrections, contact us and we'll update your records.

Deletion

You may request deletion of your account and all associated data. We'll process deletion requests within 30 days. Some data may be retained as required by law (e.g., billing records).

Opt Out of Marketing Emails

Every activation and marketing email includes an unsubscribe link. You can also email us at admin@hire-post.com to opt out. Transactional emails (application alerts, receipts) cannot be disabled while your account is active.

Data Portability

Before cancelling your account, you may request an export of your data in a common format. Contact us at admin@hire-post.com to request an export.

To exercise any of these rights, email admin@hire-post.com with the subject line "Privacy Request." We will respond within 30 days.

10. CCPA & State Privacy Rights

California Residents

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights:

  • Right to Know — request disclosure of personal information we've collected, used, disclosed, or sold in the past 12 months
  • Right to Delete — request deletion of personal information we hold about you
  • Right to Opt Out of Sale — we do not sell personal information, so this right is not applicable
  • Right to Non-Discrimination — we will not discriminate against you for exercising your CCPA rights

To submit a CCPA request, email admin@hire-post.com with subject "CCPA Request."

Other State Privacy Laws

Residents of Virginia (VCDPA), Colorado (CPA), Connecticut (CTDPA), and other states with comprehensive privacy laws may have similar rights. We honor access, correction, deletion, and portability requests from all US residents. Contact admin@hire-post.com to submit a request.

Do Not Sell or Share

HirePost does not sell personal information and does not share personal information for cross-context behavioral advertising.

11. Children's Privacy

HirePost is designed for business use and is not directed at individuals under 16 years of age. We do not knowingly collect personal information from children under 16. If you believe we have inadvertently collected such information, contact us immediately at admin@hire-post.com and we will delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify active account holders via email at least 14 days before the changes take effect and update the "Last updated" date at the top of this page. Your continued use of HirePost after the effective date constitutes acceptance of the updated policy.
